Tour Management

Creating tours, uploading images, setting availability and pricing, managing add-ons, private charters, and reviews.

Creating a New Tour

  1. Go to Tours and click New Tour
  2. Fill in the basic info:
    • Name — shown on the public site (e.g. "Phi Phi Islands Day Trip")
    • Slug — URL path (e.g. phi-phi-islands) — auto-generated from the name
    • Short description — shown on tour listing cards (1-2 sentences)
    • Full description — shown on the tour detail page (use paragraphs)
  3. Fill in logistics:
    • • Duration (e.g. "8 hours" or "Full day")
    • • Max guests per booking (tip: leave some buffer below capacity)
    • • Meeting point (e.g. "Chalong Pier, Phuket — GPS: 7.8454, 98.3683")
    • • Departure time (e.g. "08:00 AM")
    • • Return time (e.g. "05:00 PM")
  4. Set the base price in THB — this is the default price if no per-date price is set
  5. Toggle Published ON when ready to make the tour visible on the public site
  6. Click Save Tour
Tip: Save the tour first, then come back to add images, itinerary stops, and add-ons. Trying to do everything in one go can be overwhelming.

Adding Tour Images

Images are the most important conversion factor on your tour pages. Aim for at least 5-8 high-quality photos.

  1. Open the tour and go to the Images tab
  2. Click Upload Images and select your photos (JPG or WebP, max 10MB each)
  3. Drag to reorder — the first image is the cover/thumbnail shown on listing cards
  4. Add alt text to each image for SEO (e.g. "speedboat arriving at Maya Bay, Phi Phi Islands")

Image recommendations:

  • Minimum size: 1200×800px (landscape orientation)
  • Cover photo: show the destination at its best — turquoise water, clear skies
  • Include photos of the boat, customers having fun, food (if included), snorkelling
  • Avoid generic stock photos — real photos convert much better
  • Professional drone shots of the islands work extremely well

Adding Itinerary Stops

The itinerary shows customers exactly what they'll do and when — it's a major trust signal.

  1. Go to the Itinerary tab on the tour
  2. Click Add Stop
  3. For each stop, enter: time, location name, and a description (1-3 sentences)
  4. Reorder stops by dragging

Setting Up Add-Ons

Add-ons are optional extras customers can select at checkout (hotel transfer, snorkelling gear, lunch upgrade, etc.).

  1. Go to the Add-ons tab on the tour
  2. Click Add Item
  3. Enter: name, description, price per person (in THB), and whether it's required or optional
  4. Toggle Active to show/hide without deleting

Setting Availability and Pricing

Availability is managed per date in the Availability section (not on the tour page itself).

  1. Go to Availability
  2. Select the tour from the dropdown
  3. Click a date on the calendar to open a slots editor
  4. Set: available slots (seats), and optionally a custom price for that date
  5. Use the date range tool to bulk-open multiple dates at once
Tip: For seasonal pricing: leave the base price as your low-season price, then override high-season dates (December–February, June–August) with a higher per-date price.
Warning: If you don't open dates in Availability, the tour won't show a booking calendar — even if it's published.

Deposit Payments

Let customers secure their booking with a partial deposit, paying the rest later.

  1. In the tour editor, find the Payment section
  2. Toggle Allow deposit payment ON
  3. Set deposit type: Percentage (e.g. 30%) or Fixed amount (e.g. ฿500)
  4. Add a note for customers (e.g. "Pay the remaining balance on the day of the tour at the pier")
Tip: Deposits work best for private charters (high value, needs commitment) and bookings more than 30 days in advance.

Private Charter Tours

Private charters are priced per boat (not per person) and are often custom-quoted. Set them up as a separate tour type.

  1. Create a new tour and name it clearly: "Private Speedboat Charter — Phi Phi Islands"
  2. Set Max guests to the boat capacity (e.g. 12 people)
  3. Set the price as the total boat price in THB
  4. In the description, make it clear this is a private, exclusive experience
  5. Enable deposit (recommend 30-50% for charters)
  6. Open availability for the days you have boats available
Tip: If you want to offer custom itineraries for charters, ask customers to book and then WhatsApp you to customize. Note this in the tour description.

Duplicating Tours

If you have similar tours (e.g. Phi Phi Islands group tour and Phi Phi Islands private charter), duplicate the first and modify it:

  1. Go to Tours
  2. Click the three-dot menu on the tour you want to copy
  3. Select Duplicate
  4. The duplicate is created as a draft — update the name, slug, price, and images
  5. Open availability dates for the new tour before publishing

Managing Reviews

Reviews are submitted by customers via a link sent after their tour. They appear in the Reviews section for moderation.

  1. Go to Reviews to see pending reviews
  2. Click Approve to publish it on the tour page, or Reject to hide it
  3. Optionally add a reply — your response appears publicly below the review

To manually send a review request to a customer:

  1. Go to Bookings and open the booking
  2. Click Send Review Request — sends a WhatsApp message with the review link
Tip: Reviews are the biggest conversion driver. Aim to collect a review from every tour. The best time to ask is 1-2 hours after the tour when excitement is highest.
